What information do we collect?
When you contact us, we may receive your name, business email, product application, fragrance brief, intended market, expected quantity, sample and documentation requests, and any details you choose to include. You may also contact us through your own email application or WhatsApp. Please do not include confidential formulas or unnecessary sensitive personal information in an initial inquiry.
The website and hosting service may process technical data needed for delivery and security, such as IP address, browser information, and access logs. Essential WordPress or security cookies may be used for site operation. We have not configured Google Analytics or Meta Pixel on the site as of this update.
Why and how is the information used?
We use inquiry details to respond, clarify technical requirements, discuss samples and documents, prepare a quotation, and manage a potential business relationship. Depending on the circumstances and applicable law, this processing may be necessary to take steps at your request before a contract, or for our legitimate interest in responding to B2B inquiries. We do not use an inquiry as automatic consent to unrelated marketing messages.
When you submit the website form, your details are sent to FormSubmit, which forwards the inquiry to our Google Gmail inbox. FormSubmit says it retains submitted form data in its archive for 30 days. Its anti-spam check may ask you to complete a reCAPTCHA on its own page. Our website is hosted with ChemiCloud in Washington, D.C., United States. WhatsApp conversations are processed by WhatsApp/Meta when you choose that channel. Authorized staff in China may access inquiries. These services may process information across borders. Contact us before sending sensitive project information if you need details of applicable transfer safeguards.
How long is it kept?
We retain an inquiry and related project brief in our business records for up to 12 months after the last substantive contact if no ongoing commercial relationship requires it. FormSubmit states that its submission archive is retained for 30 days. Records may be kept longer where needed for an active contract, legal obligation, or dispute; in those cases we limit access and review the need to retain them. Technical hosting logs may follow the host's separate retention settings.
Your choices and rights
You can ask what inquiry information we hold, request correction or deletion, object to certain uses, or ask for a copy where applicable law provides those rights. You may also raise a concern with the relevant privacy regulator in your jurisdiction.
If we change the contact form, analytics, service providers, or material processing practices, we will update this notice and its date. This notice does not replace the privacy notices of ChemiCloud, FormSubmit, Google, or WhatsApp when you use their services.
